# You did the work on the 1st. You were paid on the 47th.

Story · Finance

Oakline and the other story companies are example companies, not named customers.

One invoice. 20 minutes of real work. 47 days to get paid. Nobody refused to pay.

Brightside · Invoice 2287 to Harbor Clinics, sent 1 March. USD 4,800, due 31 March. Unpaid for 47 days.

- **20 minutes** of real work
- **47 days** to get paid
- **12 days**: the same invoice, no chasing

## Thursday morning

Thursday. Dana runs the office at Brightside, a cleaning company.

USD 212,000 is owed. USD 94,000 of it is more than 30 days late.

She starts the same email as last Thursday: "Just following up on invoice 2287…" Payroll is on Friday.

## Meet Brightside

Brightside cleans offices and clinics. 35 people, about 120 customers, about 150 invoices a month. On 1 March it cleans Harbor Clinics. The invoice is USD 4,800, due in 30 days.

- Dana: runs the office and sends the invoices.
- Omar: Harbor's facilities manager.
- Harbor accounts: runs payments once a week.
- Leo: owns Brightside and signs the payroll.

Owed to Brightside today: USD 212,000. More than 30 days late: USD 94,000.

## Before: how the invoice moves today

| Day | What happens | Real work |
|---|---|---|
| Day 1 | Dana sends the invoice to Omar's old address. | 4 min |
| Day 14 | Omar: send it to accounts, with our PO number. | 5 min |
| Day 19 | Omar sends it. Dana re-issues the invoice. | 4 min |
| Day 33 | Due date passed. Dana calls accounts. "Next week's run." | 5 min |
| Day 40 | It wasn't. Dana emails Omar. Omar emails accounts. | 2 min |
| Day 47 | Paid. | 0 min |
| 47 days | Real work: about 20 minutes. | 20 min |

It went to the wrong inbox without the right number, then kept missing a weekly run.

## What the waiting really costs

- **USD 94,000** late at any time, out of USD 212,000 owed.
- **USD 11,000** a year in interest. A USD 100,000 line of credit at 11%.
- **1 contract**: a 3-site contract Leo turned down. He could not fund the first month's wages.

## Why "faster people" won't fix it

Make Dana 10 times faster and she saves 18 minutes. The invoice is still paid on day 47. The time was lost in Omar's inbox and Harbor's weekly run.

Invoicing software does not know Harbor's rules. Something has to carry the invoice through every handoff.

## After: the same invoice, with WorkWeaver

WorkWeaver is a digital team member. Leo gave it access to Brightside's jobs, invoices and bank. Dana taught it each customer's rules.

**WorkWeaver, Day 1 · 4:05 pm:** Sends the invoice, with Harbor's PO number, to Harbor's accounts inbox.

**WorkWeaver → Dana, Day 1 · 4:06 pm:** "Invoice 2287 sent to Harbor accounts with PO 55-1180. Due 31 March."

**Harbor accounts team, Day 7:** "Is this the deep clean or the regular contract?" WorkWeaver replies in 2 minutes.

**WorkWeaver → Harbor accounts, Day 9 · Monday:** "Invoice 2287 is approved and due on the 31st. Could it go in tomorrow's run?" Harbor's run is on Tuesdays.

**WorkWeaver → Dana, Day 12:** "Harbor paid 2287 early. 3 invoices are 5 days from due. Reminders sent. Nothing needs you."

- **12 days** to paid
- **Zero** of Dana's time
- **Zero** of Leo's time

## Side by side

| Measure | Before | After |
|---|---|---|
| Days to get paid | 47 | 12 |
| Money late at any time | About USD 94,000 | Under USD 15,000 |
| Dana's Thursdays | Chasing | Hers |
| When Leo gets involved | When payroll is at risk | Past 30 days late |
| The 3-site contract | Turned down | Signed |

## Things you never knew you could fix

- Who pays late, and why: "4 customers cause 70% of late payments. 3 just need the PO number on the invoice."
- Cash next month, today: "USD 186,000 arrives by the 20th."
- The invoice you forgot to send: "Job 1192 was finished on the 3rd and never invoiced."

## Nobody is replaced. Everyone moves up.

- **Dana:** the chaser → owns the rules: who gets a reminder and when to call.
- **Leo:** guessing on Thursday night → sees cash a month ahead and decides with it.
- **Harbor:** chased three times → gets one clean invoice and one polite nudge.

People move from Human in the loop, doing every step, to Human on the loop: setting the rules and steering. The new way of working is Teaching, Trusting and Judgement.

## How Brightside gets there

1. **Week 1, connect and teach.** Dana teaches each customer's rules. WorkWeaver reads 12 months of invoices.
2. **Weeks 2 to 4, it prepares, Dana approves.** It drafts invoices and reminders. Dana approves each one.
3. **Month 2, it handles the regular ones.** Send, confirm, remind. Dana hears on Friday.
4. **Month 3 on, people steer.** Dana handles disputes. Leo reads the cash forecast.

## Add up what you are owed right now

And how much of it is late. WorkWeaver carries every invoice through every handoff, so your people stop chasing and your money arrives.
